Marketing Assistant

Position Summary: Provides effective administrative and organizational support to the VP of Marketing & Communications, and assists with general marketing functions as needed by other Marketing department managers.

Position Elements:

  • Provide telephone support for the Vice President
  • Coordinate and manage calendar, schedule meetings and travel, and prepare agendas for the Vice President
  • Copying, filing and organization
  • Create spreadsheets and presentations as needed
  • Coordinates and assists with ticket distribution and maintenance
  • Prepare, organize and label tear sheet binders for published ads, and organize screen grabs for online ad reporting
  • Assist team with routing creative materials, compiling feedback and distributing printed materials
  • Assist Director with documents such as spreadsheets and marketing plans
  • Assist promotions team with generating grass roots outreach lists (including online, flyer and brochure distribution)
  • Coordinate shipments and deliveries (flyers, direct mail, etc.)
  • Update concert information daily on Facebook, MySpace and Flavorpill and track posts/tweets about LA Phil activities
  • Assist with compiling online targets for outreach
  • Process list exchanges: send requests and manage their retrieval
  • Assist with invoice processing
  • Archive marketing materials
  • Secure images for use in marketing materials; assist in managing image library
  • Create and maintain a Marketing library
  • Organize and maintain the Marketing shared drive

Position Requirements:

  • Bachelor’s degree preferred
  • 1+ years in marketing required
  • Experience in arts-related field preferred
  • Great people and communication skills
  • Excellent organizational, interpersonal, follow-up and oral & written communications skills required
  • Ability to:
  • prioritize tasks and work well under pressure
  • perform routine clerical tasks
  • maintain confidentiality, and exercise good judgment
  • create and maintain cooperative working relationships
  • Proficiency in Microsoft Office applications including Word, Excel and PowerPoint
